01 · The situation

Two platforms, no bridge.

Built during the migration from Airtable to HubSpot and Kajabi to Circle. The business needed a CRM and a community platform that talked to each other, but out of the box they do not.

Without a sync, staff would have to manually add members to Circle when they paid, and manually update HubSpot when members completed onboarding or changed their profiles.

02 · What we built

Two-way, continuous.

When a lead pays and becomes a member, HubSpot automatically triggers Circle to add them to the community. When they complete onboarding inside Circle, that information flows back into the CRM.

The trick is the two-way sync: as a member updates their profile in Circle, the CRM updates continuously, so HubSpot stays the single source of truth without anyone touching it.

03 · The stack

HubSpot, Circle, Zapier, Make.com.

The sync runs on a combination of HubSpot workflows, Zapier, and Make.com, chosen for reliability and the ability to handle both directions without creating loops or duplicates.
